Last updated: 27 July 2026

This privacy notice explains what South Hampshire Builders Limited does with personal information when you contact us, request a quotation, become a customer, visit this website or otherwise deal with our business.

1. Who we are

South Hampshire Builders Limited is the data controller for the personal information described in this notice.

2. Information we collect

Depending on how you deal with us, we may collect:

  • Your name, address, project address, postcode, telephone number and email address.
  • Details of the building work, services or quotation you ask us to provide.
  • Messages, photographs, plans, drawings and correspondence you send to us.
  • Appointment, quotation, contract, invoice, payment and project records.
  • Information needed to deal with suppliers, subcontractors, insurers, professional advisers, Building Control or other relevant parties.
  • Basic technical information produced when you visit the website, such as IP address, browser type, device type and server logs, where collected by our website host or service providers.

Please do not submit sensitive personal information through the website enquiry form unless it is genuinely necessary and we have asked you to provide it.

3. Where information comes from

Most information comes directly from you by telephone, email, the website form, social media, a site visit or face-to-face discussion. We may also receive relevant information from someone acting for you, a referral, a contractor or professional adviser, or from public records where necessary.

4. How and why we use information

We use personal information to:

  • Respond to enquiries and arrange site visits.
  • Prepare, discuss and manage quotations.
  • Take steps at your request before entering a contract and perform any contract with you.
  • Plan, coordinate and complete building work and aftercare.
  • Communicate with you, suppliers, subcontractors and professional advisers.
  • Keep accounting, tax, insurance, safety and business records.
  • Deal with complaints, disputes, legal claims and regulatory requirements.
  • Operate, secure and improve the website.

Our lawful bases are normally contract (including steps taken before a contract), legal obligation, and our legitimate interests in running a building business, responding to customers, maintaining records, securing the website and establishing or defending legal claims.

5. Who we share information with

We only share information where reasonably necessary. Recipients may include:

  • Website hosting, email, IT and form-processing providers, including FormSubmit for website enquiries.
  • Subcontractors, tradespeople and suppliers involved in pricing or carrying out your project.
  • Architects, engineers, surveyors, Building Control, planning authorities and other project professionals where relevant.
  • Accountants, insurers, banks, payment providers, legal advisers and debt-recovery services.
  • Regulators, courts, law-enforcement bodies or public authorities where required by law.

We do not sell personal information.

6. Information processed outside the UK

Some website, email, cloud or form-service providers may process information outside the United Kingdom. Where this happens, we expect the provider to use an approved legal mechanism or other appropriate safeguards for the transfer. You can contact us for further information about the providers used for your information.

7. How long we keep information

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected and for legal, tax, accounting, insurance and dispute-handling requirements.

  • Enquiries that do not become projects are normally kept for up to 24 months after the last meaningful contact.
  • Quotation, customer, contract, invoice and project records are generally kept for at least six years after the relevant transaction or project ends, and may be kept longer where required for warranties, insurance, safety records or a legal claim.
  • Information no longer required is deleted or securely destroyed where reasonably practicable.

8. Keeping information secure

We take reasonable steps to protect personal information against unauthorised access, accidental loss, destruction or damage. No email or internet service is completely secure, so please avoid sending unnecessary sensitive information electronically.

9. Your data protection rights

Depending on the circumstances, you may have rights to ask us for a copy of your information, correct inaccurate information, delete information, restrict how it is used, object to processing, or receive certain information in a portable format. Where we rely on consent, you may withdraw it at any time. Some rights are subject to legal conditions and exemptions.

Your right to object: where we rely on legitimate interests, you have the right to object to that use of your personal information. Contact us using the details above.

We will normally respond to a valid rights request within one month. We may need to confirm your identity before responding.
